Why disputes happen
Most invoice disputes aren't about the money — they're about expectations. The tradie thinks they completed the job. The client thinks something wasn't done. Neither party has clear evidence. The dispute drags on for weeks while your cash is tied up.
The 3 things that prevent disputes
1. A clear scope document
Every job needs a written scope that both parties sign. Not a quote — a scope of work. The scope should answer: What will be done? What won't be done? What does "complete" look like for each stage? What materials are included?
2. Evidence at every milestone
Take photos before you start, during the work, and after each milestone. Use GPS-stamped photos from your phone. Video walkthroughs are even better. If you can't show it, you can't prove it.
3. Sign-off at each stage
Don't wait until the end of the job to get client sign-off. Get written (or digital) acknowledgement at each milestone. A WhatsApp message saying "looks great, happy to proceed" is better than nothing.
What to do when a dispute happens anyway
Stay calm. Document your position in writing. Reference your contract and evidence. If using Stagex, raise the dispute through the platform — your evidence is already uploaded and timestamped.
If informal resolution fails, consider adjudication under SOPA (quick and cheap) before going to QCAT or NCAT (slower and more expensive).
